As Executive Assistant to the Chief Operating Officer, you will play a pivotal role at the heart of the business, providing high-level support to one of their most senior leaders. More than managing a busy schedule, you will be a trusted business partner, ensuring the COO has the time, information and support needed to focus on the strategic priorities that drive this organisation forward.

In this fast-paced and highly visible role, you will expertly manage a complex diary, coordinate domestic and international travel, organise executive and Board-level meetings, prepare high-quality presentations and briefing papers, and oversee the seamless delivery of day-to-day executive operations.

Operating with a high level of independence, you will use your initiative, sound judgement, and exceptional organisational skills to anticipate needs before they arise, manage competing priorities and keep momentum across a wide range of business activities.

This role offers a unique opportunity to build strong relationships across the Executive Leadership Team and wider business, while also engaging with a diverse range of external stakeholders, including government agencies, iwi, industry partners, and key suppliers. You are an experienced Executive Assistant who thrives in a fast-moving, high-performing environment. Comfortable operating at executive level, you build credibility quickly, exercise discretion, and remain calm under pressure. You take pride in staying one step ahead, enabling those you support to operate at their best.

To be successful in this role, you will bring:
  • Proven experience supporting a C-suite or senior executive within a large or complex organisation.
  • Exceptional organisational and time management skills, with the ability to juggle multiple priorities while maintaining absolute attention to detail.
  • Strong judgement, initiative, and the confidence to work independently while knowing when to escalate or seek guidance.
  • Outstanding communication and relationship-building skills, with the ability to engage confidently with senior leaders and external stakeholders.
  • Advanced proficiency across the Microsoft Office suite, including Outlook, Word, Excel and PowerPoint.
  • A proactive, adaptable, and positive approach, paired with a strong service mindset and unwavering professionalism.
